The Official Board Gathering Post
*Please check back regularly, as I will be continuously editing this post with new information!*

After various back and forth discussions, the following procedure has been decided upon:

(1) Decide what dates you are interested in going to Lake Tahoe. The majority of those already signed up will be there from June 22 to June 29.

(2) Check the list of currently available spaces. If you find a space that will work with the days you'll be attending, please make this known as soon as possible. I will be filling empty spaces on a first come first served bases.

(3) If there are no suitable spaces, please check the list of available cabins. Post a reply to the entry stating which cabin(s) you are interested in and what dates.

(4) There is a $50 deposit per person. When you have enough people signed up for your cabin to split the cost of renting, I will email each of you my home address. DO NOT send any money until you have enough people--if you and your cabin mates decide that you are comfortable with the cost of a less than full cabin, please make this known to me. I will need your deposit money (check or money order in USD) BEFORE I can make any reservations.

(5) The balance for your cabin is due 30 days before arrival. To ensure that I can get the money to the rental agency in time, I will need your cabin's balance about 45 days in advance. How you split the remaining balance is entirely up to the members of your individual cabin

(6) Please, do NOT go over the occupany limit for you cabin. You may be asked to leave by the rental agency. And I'll lose my security deposit (in addition to the charges you will be paying, there is an additional, refundable, security deposit; which will be charged and refunded to my credit card, presuming y'all don't break anything.)

There is space in the following cabins:

Cabin V-2: There are currently 5 people booked in this cabin: Sara, Darby, and Graffitti, fresne and fresne's housemate and mamcu. The cabin is being rented from June 22nd to June 26th. Total cost for a one week rental is $760 total! This cabin is officially full!

Staying in Cabin V-3, we have: Masq, Cactus Watcher, Jane, dlgood, and ann. Tentatively signed up to join them is shadowkat and anom. This cabin is being rented from June 22nd until June 29th. Total cost for a one week rental is $1,320. This cabin is officially full!

The following cabins are available:

Cabin V-10. Maximum occupancy is 3 people, and the total cost of renting for one week is $620. This cabin is not appropriate for anybody with mobility issues.

Cabin V-12. Maximum occupancy is 6 people, and the total cost of renting for one week is $1370.

Cabin V-49. Maximum occupancy is 8 people, and the total cost of renting for one week is $1315.

Cabin V-56. Maximum occupancy is 10 people, and the total cost of renting for one week is $2002.

Payment Status
(11/11/05 - I've received deposits from Jane, Masq, CW, and fresne. Not quite enough to book, but I'm sure enough checks will arrive Saturday that I can start booking on Monday.)

(11/14/05 - I've received deposit from the Darby's. I'm waiting for deposits from wisewoman, dlgood, and mamcu. If you guys haven't sent your deposits yet, please do so. I've gone ahead and reserved cabin V-3, and I'd like to be able to reserve V-2 by the end of this week.)

(11/15/05 - I've received deposit from dlgood. I've decided to go ahead and reserve V-2. I still need deposits from wisewoman and mamcu, I'd appreciate getting the $$$ before my scary credit card bill arrives!)

I talked to Masq about having one of the floor spaces in their cabin. Since I don't know my schedule yet, I haven't committed to an actual bed ;-) Hopefully that will happen soon.

Have you guys decided how much the "floor people" will be chipping in? Just the $50 deposit? Or the $50 deposit plus part of the balance?

We haven't decided officially that I know about, but in NYC the floor people and Masq and I divvied up everything equally. Now that I will be on the floor, that is fine with me.

So far we're paying equal shares. But, since you still might get a bed in another cabin, don't worry about it yet. I'd rather have you and your cookies with us. But you might like sleeping more than feeding us. ;o)

Also, Assuming Ann would be with Masq, any extra floor person in v-3 would have to be approved by Jane, because that's whose room she'd be in. Sorry, no room for more men.

Hi Sheri,

While I'm glad that ann1962 will be bunking in with us, I think we considered that the cabin was already full with six. That's how we'd divided up the $300 deposit. Just so you know, you don't have to actively try to get someone else to bunk on the floor...

Nah, not actively trying... it's more of a "but where do I go????" spot :)

The $50 deposit for any additional people will obviously go towards offsetting the balance, since I have enough money from you original six to reserve the cabin.

If that stands, I'm claiming that bedroom for Dlgood and I. If that happens then, if Ann wants the bed in the livingroom it's hers. That way everyone who has signed up so far has a bed. We can still rearrange or go back the way it was if necessary.

well, discuss this with your group... you will have fewer people to split the cost with than you originally did, after all. Perhaps you could still bring your cot if somebody wants to join ann in the living room?

Right, I can still bring the cot. If things need to change we'll deal. I truly hope Dub can reconsider and still come. But, as of now we have two 'floor' spaces for anyone as you say.

Ok, how about you guys just work this out amongst yourselves? As it stands now:

Total cost of the rental was $1320. I received $300 for the deposit, which leaves $1020. Divided by you, dlgood, masq, and Jane, that's $255 per person (I'm not counting ann because she hasn't confirmed whether or not she's coming).

Let me know when you guys decide on an arrangement.

wisewoman and her friend won't be able to attend. so it's the room with the twin beds that's opened up. With a little bed shuffling, your cabin can take new roomies of any gender.

Oops. I didn't see this for 2 months? Dunno how that happened, so I'm glad 'Bit posted something on the board. But my situation hasn't changed. I still won't know what days I'll have free till much closer to the time of the Gathering, so I'll probably have to take whatever last-minute (or last-week, at least) floor space is available & pay whatever share is decided on. Which is fine w/me, as long as it works out for the other people wherever I end up.

Hey guys, S'kat asked me to post here to let y'all know that her laptop -- with all of her emails, account info, etc. -- has been stolen. Please be extra wary of any emails you receive. She won't have access to the internet except from work for some time to come.

She is okay but pretty shaken up. Burglars broke into her apartment late at night, while she was asleep in the bedroom, by dismantling the top (locked!) window that faces the fire escape. They "only" took her laptop, but of course, like most of us these days, she kept a lot of confidential information in it as well as her writing work.

Of course, her plans for attending this meet are going to be delayed as well. If anybody needs to reach her, you can email me at alicecd@gmail.com or at my livejournal which is under username Talimama. I'll post new contact details for her when she gets all that sorted out.
